Delete your data

You can ask us to delete the personal data we hold about you at any time, and you do not have to give a reason. This page explains exactly how to ask, what happens next and what we are allowed to keep.

How to ask

Send an email to adam@fortitudelabs.co.uk. It reaches Adam Oldfield, our Data Protection Officer, who handles these requests personally.

A request by email is enough. We do not require a form, an account, or a signed letter, and we do not charge for a deletion request.

You do not need a Pip Social account, and you do not need to be signed in to anything, to make this request. This page is public on purpose.

If you signed in to Pip Social using Facebook Login, Google or Apple, emailing the address above is how you request deletion of the data Pip Social holds about you. Deleting it here removes it from Pip Social. It does not close your account with Facebook, Google or Apple, which you would do with that provider directly.

What to put in the email

The more of this you can give us, the faster we can find the right records.

  • The email address or mobile number your data is held under.
  • The name of the venue or business the data relates to, if you know it.
  • Whether you are a Pip Social account holder, a member of a venue team, or a customer of a venue that uses Pip Social.
  • Whether you want everything deleted, or only a specific thing such as your marketing contact record.

We may ask you for something that proves the address or number is yours before we delete anything. That is to stop one person deleting another person's records, not to slow you down.

What happens next

1. Email the request

Send an email to adam@fortitudelabs.co.uk with the subject line: Data deletion request. Write it in your own words. There is no form to fill in and no account needed.

2. We confirm it

We reply to acknowledge the request, normally within two working days. If we cannot tell which records are yours from the details given, we will ask you one clarifying question rather than guess.

3. We delete and tell you what was deleted

We complete the deletion within one month of the request, which is the time limit the UK GDPR sets and the Information Commissioner enforces. If a request is genuinely complex we may extend that by up to two further months, and if we do we will tell you inside the first month and say why. We then write back to confirm exactly what was removed and anything we were legally required to keep.

What we delete

  • Your account and profile, and your membership of any venue team.
  • Your marketing contact record, including your email address, mobile number and the history of what was sent to you.
  • Any content you personally uploaded that is not part of a venue's own marketing record.
  • Data held by the platforms we connect on a venue's behalf is deleted through that platform. We will tell you which ones are involved and what we have asked them to remove.

What we have to keep

  • A minimal suppression record, so that a venue cannot accidentally market to you again after you have asked it to stop. It holds no more than is needed to recognise you and stop a send.
  • Records we are required by law to keep, such as invoices and accounting records, for as long as the law requires and no longer.

If you are the customer of a venue

Where a pub, restaurant or group uses Pip Social to market to its own customers, that business is the data controller for its contact list and we act as its processor. You can send your request to us and we will act on it, and we will also pass it to the venue so that it is honoured at their end too.

If you are not happy with our answer

Tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner at ico.org.uk, or to call the ICO helpline on 0303 123 1113.
